International Finals — Terms & Conditions

For the purposes of these Terms & Conditions (the "Terms") the following definitions apply:

• Organiser — Stowarzyszenie OSPRO Sporty Przeszkodowe, Wolica, ul. Przerąbkowska 3, 05-830 Nadarzyn, Poland, tax ID (NIP) 5342657036, the operator of the Ninja Series league and the ninjaseries.pl platform.
• Event — the Ninja Series Grand Final – International Finals (the "International Finals"), the closing event of the Ninja Series League season, held on 23–24 January 2027 at Hala Widowiskowo-Sportowa CAiIS, ul. Sportowa 29, 05-825 Grodzisk Mazowiecki, Poland (about 30 km from Warsaw). The detailed schedule is published on the event page at ninjaseries.pl/international-finals.
• Athlete — an adult person who applies to compete at the Event, or a minor (KIDS categories) whose legal guardian submits the application and accepts these Terms on the minor's behalf.
• Club — a sports club, training facility or organisation applying on behalf of its Athletes through the club application form.
• Platform — the Ninja Series online service at ninjaseries.pl, used for accounts, applications, start lists and results.
• Application — the online form submitted through the event page, expressing the intent to compete at the Event.
• League Athlete — an Athlete competing in the Ninja Series League 2026 in Poland (registered for at least one league stage of the season). League Athletes enter the Event only through the league qualification.
• International Athlete — an Athlete who does not compete in the Ninja Series League 2026 and applies through the international application on the event page.
• Registration — the second stage for International Athletes, opening in late September 2026 together with international online payments: confirmation of a place on the start list in the order of Applications.
• Confirmation — written confirmation (e-mail or Platform message) from the Organiser that an Athlete has been accepted to compete.
• Ninja Course — an obstacle course with electronic timing on which the competition takes place.

These Terms set out the conditions of applying for and taking part in the International Finals as an international Athlete or Club.

The purpose of the Event is to bring together the best ninja and obstacle athletes from Poland and abroad in one competition, to promote obstacle sports, fair play and a healthy, active lifestyle.

By submitting an Application, the Athlete (or the legal guardian of a minor Athlete, or the Club on behalf of its Athletes) confirms that they have read, understood and accepted these Terms.

Participation requires good health, no medical contraindications to intensive physical activity and awareness that Athletes compete at their own risk (for minors — at the responsibility of their legal guardian). Every Athlete, or the guardian of a minor, will be asked to sign a health and liability declaration at the competition office before their first start.

Athletes are required to follow the instructions of the head judge, judges, event staff and security personnel at all times.

Applications are accepted exclusively through the online forms on the event page:

• Athlete Application — for individual Athletes. An active Ninja Series Platform account is required; profile data is pre-filled from the account.
• Club Application — for Clubs applying on behalf of a group of Athletes. The Club representative accepts these Terms on behalf of the Club and all Athletes listed in the application.

League Athletes (Poland): Athletes competing in the Ninja Series League 2026 qualify for the Event only through the league — the top athletes of the season classification and the top athletes of each stage, per category, according to the league rules published on ninjaseries.pl. League Athletes do not use the international application; qualified League Athletes are invited through the Platform. The number of league places per category is announced together with the opening of Registration.

International Athletes — two stages: the Application (open from the publication of the event page; every Application is confirmed by e-mail) and the Registration (opening in late September 2026 together with international online payments). Registrations are confirmed in the order in which Applications were received, while places in the given category are available.

Open, Masters and KIDS categories: no selection — the place is confirmed at Registration. The Organiser may only refuse a Confirmation when the places in the category are exhausted, when the Application is incomplete or contains false data, or for the reasons set out in section 8 (Code of Conduct).

Pro Men and Pro Women: these are the only categories subject to verification. The Organiser's coaching team reviews the Athlete's competition background and may ask for additional information (results, video material) before issuing a Confirmation. An Athlete not admitted to the Pro category may be offered a place in the Open category.

Barbados Ninja Throwdown 2026: Athletes who qualified for the Pro category at BNT 2026 have a direct entry to the Pro category of the Event. Other BNT Athletes register as International Athletes.

A place at the Event is secured only upon receiving a Confirmation. The Confirmation states the category, the applicable participation conditions and the next steps.

Applications must be submitted by the deadline published on the event page. The Organiser may close applications earlier when the available places are filled.

Athletes compete in the age category determined by their year of birth (season year minus year of birth). The categories offered at the Event are published on the event page; the standard Ninja Series categories are:

The Pro category is reserved for verified top-level athletes. The Organiser decides on admission to the Pro category on the basis of the Application and the Athlete's competition background. All other categories are open to every International Athlete of the appropriate age, without verification. League Athletes enter every category only through the league qualification (section 3).

Minor Athletes may compete only with the written consent of a legal guardian and must be accompanied by an adult guardian during the Event.

The Organiser reserves the right to verify the identity, age and category of every Athlete at any time. Providing false data in the Application results in exclusion from the Event.

The Event follows the Ninja Series competition format. The detailed rules, obstacle descriptions and schedule are published on the event page and announced at the competition office before each phase.

Phase 1 — Eliminations (Open-World format). Athletes start in groups. The course consists of 12 obstacles grouped into "worlds". The Athlete chooses the order of obstacles freely. Time limit: 9 minutes, one run per Athlete. A fall means returning to the start of that obstacle; an obstacle counts once completed correctly and the finishing platform or grip is touched. Ranking criterion: the number of completed obstacles. Athletes with the same number of obstacles are ranked ex aequo.

Phase 2 — Semi-finals (speed format). The format is announced on the day of the Event. Each Athlete has one run within the time limit and starts with 3 LIFE; an obstacle may be repeated as long as the Athlete has LIFE left. Ranking: the fastest complete run, then the furthest checkpoint reached, then the time of reaching that checkpoint.

Phase 3 — Final (combined course). All finalists start under the same conditions. Ranking: first who got furthest, then time. The final always takes place before the award ceremony.

The number of Athletes advancing from each phase is announced on the day of the Event and depends on the size of the category.

Judging. Decisions of the head judge and the judging panel are final. Athletes may be disqualified for blocking other athletes, shortcutting the course, using obstacles contrary to their description or unsportsmanlike conduct.

Safety and interruptions. The head judge may stop the competition at any time for safety reasons (weather, technical issues, medical emergencies). A phase that has been started is completed after the interruption whenever possible. If not all phases can be completed, the final classification is based on the last completed phase:

Every category is classified twice from the same run: (1) the Polish League classification — League Athletes only; its winner receives the title of Ninja Series League Champion 2026; (2) the International Finals classification — all Athletes in the category; its winner receives the title of Ninja Series International Finals Champion. The International Finals are an event outside the league points table: no league points are awarded at the Event.

Each classification has its own podium with trophies for the podium places in every age category. An Athlete placed on both podiums receives both trophies. Certificates are issued for every podium place, and every participant receives a commemorative International Finals medal.

Results are published on the Platform with the Athlete's first name, last name, country and club, and become part of the permanent International Finals record.

Additional awards (cash prizes, material prizes, national team ranking, special awards) are announced on the event page. The Organiser decides on the final prize pool and reserves the right to change it before the Event.

The participation conditions applicable to international Athletes (including any participation fee, if applicable) are communicated in the Confirmation and on the event page. No fee is charged for submitting an Application.

Athletes and Clubs travel to the Event at their own expense and organise their own accommodation, unless the Confirmation states otherwise. The Organiser provides confirmed Athletes with an information pack: recommended hotels, venue location, travel tips and the event schedule.

Athletes are responsible for having valid health and accident insurance covering sports competition, and travel insurance for the duration of their stay in Poland. Non-EU Athletes are responsible for obtaining any required visa or travel documents; on request the Organiser issues an invitation letter for confirmed Athletes.

An Athlete who cannot take part after receiving a Confirmation must inform the Organiser as soon as possible by e-mail at athletes@ninjaseries.pl, so that the place can be offered to another Athlete.

All Athletes, guardians, coaches and Club representatives agree to respect fellow competitors, judges, staff, volunteers and spectators, and to compete in the spirit of fair play.

The following are prohibited and may result in disqualification and removal from the venue: unsportsmanlike behaviour, aggression or abusive language, entering the competition zone without permission, competing under the influence of alcohol or drugs, and any behaviour that endangers the safety of others.

Athletes waiting for their run must remain in the waiting zone. Coaches and guardians may not enter the competition zone.

The use of performance-enhancing substances prohibited in sport is forbidden. The Organiser may exclude an Athlete from the Event in case of a justified suspicion of doping.

By participating in the Event, the Athlete (or the guardian of a minor Athlete) consents to and authorises the Organiser to record and use the Athlete's image, name, voice and performance in photos, video and live streams from the Event, in all forms: the Platform, social media, press, promotional materials, television, radio and online broadcasts, and exhibitions.

This consent covers in particular the publication of photos and video material from the Event on ninjaseries.pl and the Organiser's social media profiles, and their use to promote the Ninja Series league and future events. The consent is granted free of charge and without territorial or time limitation.

The consent is given by accepting these Terms online or by signing the declaration at the competition office. Once the Event has taken place and the material has been used, the consent cannot be freely withdrawn.

Removing watermarks from official photo and video materials is prohibited. Athletes and Clubs publishing their own materials from the Event are asked to tag them with the name of the Event and the Organiser's official profiles.

The processing of minors' images is based on Art. 6(1)(f) GDPR (legitimate interest of the Organiser) together with the guardian's consent.

The controller of personal data submitted in the Application is the Organiser — Stowarzyszenie OSPRO Sporty Przeszkodowe, Wolica, ul. Przerąbkowska 3, 05-830 Nadarzyn, Poland. Contact: biuro@ninjaseries.pl.

Personal data (name, date of birth, nationality, contact details, club, competition background and, for minors, the guardian's details) are processed for the purpose of reviewing the Application, organising the Event, communicating with the Athlete, preparing start lists and publishing results, and — where consent has been given — for promotional purposes, in accordance with Regulation (EU) 2016/679 (GDPR).

Legal basis: Art. 6(1)(b) GDPR (performance of the participation agreement), Art. 6(1)(c) (legal obligations of the Organiser), Art. 6(1)(f) (legitimate interest — safety, results, promotion of the Event) and Art. 6(1)(a) (consent, where applicable).

Data may be shared with the Organiser's service providers (IT, timing, photo and video, accommodation partners for the purpose of the information pack) and, with the Athlete's consent, with the Event's partners and sponsors for information purposes. Results are published with first name, last name, country and club.

Data are stored for the period necessary to organise and settle the Event and to maintain the historical results record. Every data subject has the right to access, rectify, erase or restrict processing of their data, the right to data portability, the right to object, the right to withdraw consent at any time (without affecting the lawfulness of prior processing) and the right to lodge a complaint with the supervisory authority — in Poland the President of the Personal Data Protection Office (UODO).

Providing data is voluntary but necessary to submit an Application and take part in the Event.

The Organiser organises the Event with all required safety measures, qualified judges and medical assistance on site.

Athletes compete at their own risk and declare that they are in good health and have no medical contraindications to taking part in an intensive obstacle competition. The Organiser is not liable for injuries sustained during the competition or training on the course, unless caused by the negligence of the event staff.

The Organiser is not liable for personal belongings left at the venue, for the consequences of an Athlete's failure to follow the instructions of the staff, or for non-performance of its obligations due to force majeure (in particular weather conditions, decisions of public authorities, epidemic restrictions, failure of the venue).

The Organiser reserves the right to change the date, venue or programme of the Event for reasons beyond its control. Confirmed Athletes are informed of any such change by e-mail and on the event page.

These Terms are effective from 7 September 2026 (version 1.1, updated 9 September 2026: entry paths, two classifications, registration timeline) and apply to all Applications submitted from that date. The Organiser may amend the Terms; the current version is always available at this address, and Athletes with a Confirmation are informed of material changes by e-mail.

Matters not covered by these Terms are governed by the detailed competition rules published on the event page, the Ninja Series Platform terms of service and the laws of the Republic of Poland. Nothing in these Terms affects the mandatory consumer rights of Athletes residing in the European Union.

In case of discrepancies between language versions of the Terms, the English version published on the event page prevails for international Athletes.

The competent court for resolving disputes is the common court with jurisdiction over the registered office of the Organiser. EU consumers may also use the European Commission's online dispute resolution platform: ec.europa.eu/consumers/odr.
